Microsoft Outlook - How to Synchronize Contacts under Business Contact Manager ?

Microsoft has provided a nice application called Business Contact Manager (BCM) for Microsoft Outlook 2003.  Primarily targeted at small businesses.  Neat features that help you manage business relationships and track customer information easily.  However, thanks to the limitation of Microsoft ActiveSync, you cannot synchronize these contacts into your Pocket PC.

  Why Cannot I Synchronize the Business Contact Manager Information?

Microsoft ActiveSync synchronizes information found within the Outlook .pst file.  The BCM does not use the pst file to store information.  It has its own database file format.  The only manner in which you could synchronize them is by copying the contacts over to your default Contacts folder.  Therefore there is a great need for some synchronization software that will allow you to do the job.

  How Do I Synchronize the Contacts under Business Contact Manager with my Pocket PC?

Palm already supports syncing of BCM contacts. From what little I have read, the next update of BCM is keeping this under consideration.  Hopefully you should have it out soon to solve your syncing woes.  But until then, you have the choice to use "Outlook Pocket Contact Synchronizer", a free add-in from Microsoft.  For more information about this add-in, refer to - Outlook PCS

Business Contacts moved from BCM to the default Contacts folder will not display the contact information as seen under BCM.  It will only display the fields that are supported by the Contacts in Outlook.  The rest are ignored.

As explained in the article above, this utility will help move the desired contacts far easier then manually moving them as and when needed.  The problem while moving contacts manually is that any contact information that is updated will not reflect under the main Contacts folder.  One click before synchronizing the Pocket PC and you have all your updated contacts without the worry of deleting and moving them.

If you have been using Categories to sort your Contacts under BCM, then it will aid you even more on your Pocket PC since the mobile device supports synchronization of Categories.

If at any point of time, you need to clear your Contacts folder of the BCM contacts, then this too can be down in a jiffy:

 - In Outlook -> click Tools-> Options and select the Outlook PCS tab sheet -> Clear Contents

Although Outlook PCS is not the ideal synchronization solution for BCM, you will need to use it if you want those contacts on your Pocket PC.  If you have Outlook PCS installation issues, then refer Common Problems Faced While Using Outlook PCS.

  Additional Tip:

I have noticed that over a period of time, you might not be able to open the forms that are loaded by Business Contact Manager to enter or edit information (irrespective of Outlook PCS installation).  You will end up getting an error message similar to the screen-shot shown below:
